What is the Workload Report?

The Workload Report lets you see the workload for all or selected members of a project or project group in a daily, weekly, or monthly timeline format based on the number of assigned tasks or task points.

How is the workload distribution calculated?

You can choose whether the workload should be calculated based on the number of assigned tasks or task points.

  • If using task points: Should a task be scheduled for more than a day and/or has more than one assignee, the points will be equally divided by days and assignees. So if a task has 4 points and 2 assignees and is supposed to last for 2 days, this task will count as one point per day for each assignee.

  • If using number of tasks: If a task lasts for more than one day, it will be counted as one task per day for each assignee.

  • The report will only consider tasks that have both a start and end date. This means that the report will not display any tasks that have none or only due date set.

How do I know if someone’s workload is too high?

The blue bubble that indicates the assigned tasks or points will turn red once the user exceeds the maximum tasks or points for the set time period (day, week or month).

How to generate a Workload Report for a project

  1. Open a project and go to the tab “Workload”

  2. Select the date range for the report

  3. You will see a pre-selected list of assignees which contains all project members. Add or remove people from this list if needed and decide whether you want to take unassigned tasks into account

  4. Click on “Generate Report”

How to export to CSV

  1. In the top right corner, click on the export icon

  2. Choose the file type, column separator and line separator

  3. Click “Export”, your file will download automatically

Important:

  • The report will only consider tasks that have both a start and end date. This means that the report will not display any tasks that have none or only due date set.

  • While you can make changes to tasks right from the workload view, the report will still reflect the state of the project at the time the report was generated. Please follow the steps for changing the date range to update the report.
